Why is a Managed Print Services Partner Essential for Organizations?

Printing is one of the primary functions of an organization. Thus, an optimized printer fleet can prove to be very resourceful.

Fremont, CA: Organizations often deal with a variety of vendors for purchasing toner cartridges, another one for managing copiers and printers, and yet another one for repairs and maintenance. Instead of working with so many vendors, an organization can partner with a managed print service provider that can handle all printer needs comprehensively. IT departments will receive notable benefits as an MPS helps them eliminate mundane support and maintenance tasks associated with networked printers. An MPS can simplify printer management, improve office productivity, and keep the costs down. While choosing an MPS partner, it is vital to ensure that they provide an innovative solution and also deliver the results as promised. 

An MPS can provide the highest value if they offer a customized combination of several solutions. For instance, a basic cartridge program allows an organization to buy toner and include printer repair service and support in the cost. This is a scalable approach that provides for printer maintenance and toner pricing based on need and usage. On the other hand, many companies choose a cost-per-print basis program that simplifies IT management and also improves the accuracy of budgets and projections. This program includes toner cartridge replacement, printer repair service, and an auto-replenishment program. Companies with this type of subscription don’t have to worry about page coverage or toner cartridge yield. 

Organizations, on average, spend three percent of their revenues on document services, and approximately half of that is spent on printers. With an improved process and software, an organization can bring down these costs. A well-formed managed print strategy and optimized printer placement can improve document workflow. According to current estimates, 12 percent of IT resources and generally spent on printer-related issues. An MPS vendor takes charge of printer security, maintenance requests, supply purchases, and print tracking. Thus the IT team can focus on critical tasks. To relieve the IT team from day-to-day printer needs, MPS vendors offer on-site support program to clear jams, clean work areas, load paper, change toner cartridges, load print drivers, deliver the paper, change feed rollers, and perform other functions to keep print devices operational.  

Organizations located at multiple locations may not have centralized printer management, and 64 percent of such organizations have no knowledge where the money is spent. A trusted MPS provider can help the organization secure, track, and manage the needs of printer fleets regardless of the size of the organization.
