Exent: Driving Operational Excellence with RPA

For organizations looking to drive major operational efficiency, facilitate productivity uplift, and drive a better customer experience, the search ends with Robotic Process Automation (RPA). Contrary to many niche RPA implementers, Exent has proved over the years that its offerings along with RPA catapult clients to success much faster. Exent brings to bear a seven-tier operating model on any form of business transformation, even with RPA. “We help materialize higher ROI in all projects by defining benefits right out front, having a benefits realization plan on the back end, and ensuring that final mile is covered,” says Fazzari. Further, to mitigate customer experience issues that are often not addressed due to an organization’s lack of understanding the voice of the customer, Exent leverages the power of RPA to facilitate fast and easy transactions while automating key touch points.

“Exent takes a unique approach to consulting, where we leverage the client’s own resources.
Following that, we support the clients with training and upskilling their workforce so that they can sustain success themselves,” explains Fazzari. Besides, Exent assures lower cost and endorses a four-phased methodology that is faster and less risky than long (often meandering) RPA projects. Exent has set a benchmark with remarkably rapid client onboarding for pilot implementations completed in weeks and full implementations in three to six months.

The onboarding process begins with a discovery process where Exent models out RPA opportunities in detail. Following that, the company conducts a proof of concept to ensure all the technical and functional challenges are solved. “We then take a full process to pilot and at that point we establish RPA maturity with governance processes, maintenance support, and enhancement,” explains Fazzari. Exent then continues to collaborate with the client to further scale their RPA implementation or allows the client to maintain their own success going forward.

“We have a full suite implementation capability for project, program, business analysis, and change management, as well as lean and six sigma services where we train and deploy world-class methodologies to improve operating performance,” emphasizes Fazzari. Exent has employed the Lean Six Sigma methodology for years to enable middle and back-office operations to deliver lower cost, improved customer accounts, and a range of performance improvements.

Exent prides itself on being experts in business process management and significantly engages in Application Performance Management (APM). The company also delivers a number of innovative technology platforms pertaining to business process automation, robotics, and web and digital collaboration. Fazzari informs, “We are also bringing a hosted RPA stack—robotics in the cloud—to the market, which will allow for lower costs and more agility in deploying RPA.”

A client of Exent, Australian Country Choice (ACC)—one of the largest vertically integrated supply chain organizations in the world— strived to achieve the best practice in environmental sustainability, animal welfare, beef production, meat processing, employee health, safety and wellbeing, and customer satisfaction. ACC engaged Exent to review their Accounts Payable invoice processing for an automation assessment. The process of receiving scanned invoices and POS was repetitive and error-prone and was performed daily by the accounts team, consuming many hours across a number of resources. Exent’s solution implemented Optical Character Recognition (OCR) to parse invoices and produce structured data for upload and approval by managers, all powered with an agile RPA robot. The robot implements full invoice validation on the returned document and ensures managers have digitally signed them before processing invoices in their accounting system. The automation of this process resulted in numerous benefits including over 90 percent of invoices processed automatically with a low exception rate, and improved process efficiency, reducing the repetitive manual effort in both the accounts team and for the management team.

On the back of client successes, Exent has experienced significant 30 percent growth half-on-half over the last two years, and has expanded operations to Sydney and Melbourne, serving clients across Australia and New Zealand. As for the future, Exent plans to bring more packaged industry and function-specific RPA solutions to the market. “We are going to introduce an AP automation solution ‘in a box’ to organizations in the coming year and focus on advanced areas of further automation,” ends Fazzari.
